ROSI KID — School Management

Software that helps your school take the register, manage children's records, classes, fees and staff — and lets parents see news of their child, photographs and the classroom camera on their phone.

1Who it is for

  • Teachers (class teacher / assistant teacher) — taking the register for their class, posting moments and meal photographs, recording health notes, messaging parents, clocking their own attendance.
  • School leadership (head and deputy head) — running their whole site: children, classes, staff, admissions, events, communications, classroom cameras.
  • Board chair / administrator — full rights across every site; the only role that sees "Devices", "Audit log" and "System settings".
  • Parents — seeing their child's information: arrival and departure times, activity photographs, meals, the menu, fees, the classroom camera; sending absence requests, medicine instructions and messages to the teacher.
  • Other roles: nursery assistants, security staff (who use the "Gate" screen), and the shared Gate account on a tablet at the school entrance.

In all there are 8 kinds of account: board chair, administrator, head/deputy head, teacher, nursery assistant, security, the Gate account, and parent. Besides the role, an account can also be ticked as "Accountant" (which opens the Fees section) and given various "Additional rights".

2How to open it

Address: given to each user by the school — not published publicly.

Open it in a browser on a phone or computer. The login page has two boxes:

  • "Phone number or email"
  • "Password"

then press "Sign in". "Remember password" is ticked by default — leave it and the app opens straight in next time (untick it on a shared device).

  • Teachers, assistants, security and leadership: sign in with the phone number recorded in the staff file. The school creates the account under "Staff"; the first password is issued by the school, and the software makes you change it on first sign-in.
  • Board chair / administrator: may sign in with an email address instead of a phone number.
  • Parents: no account has to be issued. Once the child's record holds a "Father's phone" or "Mother's phone", the software creates a parent account for that number. Sign in with that phone number and the password the school gives you. Once in, change the password straight away under "Change password".
  • After signing in, parents land on their child's screen; security and Gate accounts land on the "Gate" screen; everyone else lands on the home page.

In the top right there is also a language switch: Tiếng Việt / English / 日本語.

For school users the navigation is grouped into: "Children", "Parents", "Teachers", "School" and "Chat". Press a group to open its items.

3Everyday tasks

Taking the daily register (teachers)

  1. Press the "Children" group → choose "Register".
  2. The screen shows how many children in each class are present, absent or not yet arrived; below is a grid of photographs of the children in your class.
  3. Tap a child's tile. The software asks whether this is "🏫 ARRIVING" or "🏠 LEAVING".
  4. Once chosen, the camera opens so you can photograph the child. As soon as the photo is taken, the arrival (or departure) time is recorded with the picture.
  5. If the child is absent, press "Absent" in the corner of their tile.
  6. The tile changes to "✅ Arrived …", "🏠 Left …" or "🚫 Absent" so you can see it is done.
  7. To correct something, or to take the register for an earlier day: press "✏️ Enter by hand / Edit the register for …". There you get a table with "Present" / "Late" / "Absent", "Arrival time", "Departure time" and "Temperature (°C)"; press "Save register" when done.

Adding a record for a new child (leadership)

  1. Press the "Children" group → "Classes & pupils" → the "Pupils" list.
  2. Press "+ Add pupil".
  3. Fill in: "Full name" (required), "Date of birth", "Sex", "Class", "Photograph".
  4. Then fill in "Father", "Father's phone", "Mother", "Mother's phone" — this is the most important part: a parent account is only created if there is a phone number.
  5. Add "Allergies", "Start date" and "Health notes" if there are any.
  6. Press "Add pupil". The software creates parent accounts for the father's and mother's phone numbers (username = password = the phone number) and attaches them to the child.
  7. If a number you have entered is already a parent of a child with a different surname, the software warns "…different surname, please check unless they are siblings." Read that warning and check the number again.

Creating classes and placing children (leadership)

  1. Press the "Children" group → "Classes & pupils".
  2. In the "Add a class" panel, fill in "Class name" (required), "Age group" (crèche / nursery / middle / pre-school), "Maximum size", "Programme", then press "Add".
  3. Assign teachers: press the teacher cell on that class's row, tick the teachers and press "Save".
  4. Place a child: open the child's record ("Edit") and choose the class in the "Class" box; an unplaced child shows "— not yet placed —".
  5. Children on a break, or just returning, sit in the "On a break · awaiting placement" list; choose a class and press "Place" to return them to the active list.
  6. To move a child to another class or site: in the pupil list press ⋯ on their row and choose the move option.

Posting moments and meal photographs for parents (teachers)

  1. Press the "Children" group → "Learning moments".
  2. Scroll to the "+ Add a moment (photos)" panel (on a phone you can press the floating "Post a moment" button in the corner).
  3. Under "Post into which section?" choose "📚 Learning · play" or "🍽️ Meal photos". For meal photos, also choose "Which meal?".
  4. Under "Post to class (one or more)", tick the classes. Leadership also has "🏫 Post to THIS WHOLE SITE"; the board chair also has "📢 Post to ALL SITES".
  5. Fill in the "Title", choose "Photos / video (several allowed)" and write a "Description".
  6. Press "Post moment". Learning photographs appear under "Learning" in the parents' app; meal photographs go to their own "Your child's meals" section, not mixed with learning posts.

Turning on the classroom camera for parents (leadership)

  1. Press the "School" group → "Classroom cameras".
  2. If the feature is off, press "Turn on" (only the board chair / administrator can press this).
  3. For each camera channel: choose the class in the "— No class assigned —" box, give it a memorable name (for example "Dining corner"), tick "Visible to parents", then press "Save".
  4. Set the viewing hours: on the site's "🕘 Viewing hours" card, choose the "Class" (or leave "Default for the whole site"), tick the "Days of the week", fill in "From" – "To", tick "Allow", then press "Save hours".
  5. If nothing is set, the software uses the default Monday – Saturday, 06:00 – 18:00.
  6. Parents can only see the camera for their own child's class, only within the hours set, and the camera locks itself as soon as the child is no longer in that class.

Answering parents' requests (teachers / leadership)

  1. When a new request arrives, the 🔔 bell in the top right shows a red number.
  2. Press the "Parents" group → "Parent requests".
  3. The list shows the type of request: "Absence", "Medicine", "Other", with "From" / "To", "Reason", "Message" and "Attachment".
  4. Press "Approve" or "Decline"; you can add a message back to the parent.
  5. The parent receives the outcome immediately in the app's notification bell.
  6. For a longer exchange, use "Chat" to message the parent directly.

Changing a parent's phone number in a child's record (leadership)

  1. Go to "Classes & pupils" → find the child → press ⋯ → "Edit".
  2. Correct the "Father's phone" or "Mother's phone" box.
  3. Press "Save changes".
  4. The software unlinks the old number automatically: the account on the old number can no longer see the child. If that account has no other children, it is locked (not deleted, so the message history is kept).
  5. At the same time the new number gets a parent account, created or attached (first password issued by the school).
  6. To check who can see a child: open the child's "Record & care" (press ⋯ → "Record & care") and look at "Parent accounts". There you have "Unlink", "Reset password" and "+ Create an account from the father's/mother's phone".

A parent signing in for the first time and adding the app to the home screen

  1. Open the address the school gave you on your phone (on an iPhone use Safari, not Chrome or the browser inside Zalo).
  2. On the login page press "📲 Install the app on your home screen".
  3. Android: press "📲 Add to home screen" and choose "Install" when asked.
  4. iPhone: press Share in the bottom bar → scroll to "Add to Home Screen" → press "Add".
  5. Open it again from the ROSI KID icon on the home screen, type your phone number into both the username and the password box, and press "Sign in".
  6. When the phone asks "Allow notifications", press "Allow" so you do not miss messages, fee notices and photographs of your child.
  7. Once in, open the 🔔 bell → "Change password" to set a password of your own.

A parent looking at their child and the classroom camera

  1. After signing in, with one child you land on that child's page; with several you choose on the "My children" screen (or with the child switcher in the top right).
  2. The bar at the bottom has five items: "News", "In class", "Messages", "Learning", "More".
  3. "In class" — the times your child arrived and left each day, with the photographs the teacher took at drop-off and pick-up, and the temperature if recorded.
  4. "Learning" — photographs and activities from the class; "News" — school announcements.
  5. "More" — opens: "Your child's meals — food photographs", "Weekly menus", "Curriculum", "Notification settings", fees, health, growth, and who may collect the child.
  6. Watching the camera: go to "More" → "Your child's classroom camera". This only appears once the school has turned the camera on for your child's class.
  7. Sending a request to the teacher: go to "More" → "Request an absence" or "Medicine instructions", fill it in and send; the decision comes back to the 🔔 bell.

4Tips and common problems

  • You cannot sign in: remember the username is a phone number, not a name. Five wrong passwords locks the account for about 10 minutes — wait a few minutes rather than trying repeatedly.
  • Changing a parent's phone number: since the fix of 8 September 2026, editing the phone number in a child's record automatically unlinks the old number and locks that account if it has no other children. Before that fix it did not unlink — so for children entered before that date, open "Record & care", check "Parent accounts" and press "Unlink" if you see an unfamiliar number.
  • Two children entered with the same parent phone number means one account sees both children in the child switcher. That comes from a mistyped number — correct the phone number in the child's record and check the parent account list again.
  • A parent's first password is issued by the school — remind parents to change it on first sign-in and not to share it, particularly if the phone number has changed hands.
  • The camera is "on" but still cannot be watched: check three things in order — is the camera feature on, is the channel assigned to the right class and ticked "Visible to parents", and is it within the viewing hours (default Mon–Sat, 06:00–18:00).
  • Register taken on the wrong day: the tap-and-photograph screen always records for the date selected at the top of the page. To correct an earlier day, press "✏️ Enter by hand / Edit the register for …" rather than photographing again.
  • While viewing "All sites" (board chair / administrator only) the software is read-only. Choose a specific site in the top right before entering anything.

5Frequently asked questions

Do parents have to wait for the school to issue an account?

No. As soon as the child's record has a "Father's phone" or "Mother's phone", the account exists. The username is that phone number; the first password is issued by the school.

What if one account has two or three children at the school?

That works. Every child attached to the same phone number appears in the one account; you choose between them on the "My children" screen or with the switcher in the top right.

A teacher whose own child attends the school — does she need two accounts?

No. The software attaches the child to her staff account. She signs in once, and from her work page presses "View as a parent", then "Back to work" to return.

Can parents watch the camera all day?

No. Only their own child's class, and only within the hours the school sets (default Monday – Saturday, 06:00 – 18:00). Outside those hours the page states the permitted times.

What if I forget my password?

There is no self-service reset yet. Parents should tell the teacher or the office; someone with the right opens the child's "Record & care" and presses "Reset password" — the password goes back to being the phone number. Staff should ask the school leadership to do the same.
